WHERE YOU’LL FIT IN THE TEAM:
The Administrative & Data Management Associate will be an integral part of both the Human Resources, Finance, and Administration (HRFA) Team and the Engagement & Growth Team. This position will support the organization’s fundraising, donor member recruitment, finance, human resources, and administrative functions. This includes database management, donor research, coordinating logistics, scheduling, clerical tasks, and assisting with the smooth functioning of the teams. This position is a non-exempt position. This position performs some similar responsibilities on behalf of a 501(c)(4) sister organization focused on building relationships with and electing progressive candidates with a focus on underrepresented communities.
The position is located in Washington, D.C. Staff have the flexibility to work from home within the D.C., Maryland, and Virginia (DMV) area; however, in-office presence is required at least twice per week, and additional days may be necessary for special projects or key organizational needs for this role. Staff are welcome to work from the office more frequently if preferred. Occasional travel throughout the Washington, D.C. area may be required for meetings and events. The position title is officially “Administrative, Growth & Engagement Associate.” The title “Administrative & Data Management Associate” is used in this job posting for ease of understanding regarding the position’s responsibilities.

WHAT YOU’LL DO:
- Data Management for Fundraising, Member Engagement & Recruitment: Responsible for the Engagement & Growth team’s data management, recordkeeping, and reporting regarding all organizational fundraising efforts, member donor recruitment, and member participation. Assist with administration of Salesforce database. Conduct research and relationship mapping to identify new politically connected donors.
- Finance: Receive and properly record donor contributions, ensuring they arrive at the organization’s fiscal sponsor for processing. Reconcile revenue and fundraising records. Support the preparation and coding of expense card reports to ensure they are ready for processing.
- Human Resources: Support staff hiring processes by helping with recruitment tasks and onboarding activities. Help plan and coordinate staff activities and employee workplace support activities.
- Administration & Operations: Assist with Administration & Operations functions, including scheduling and logistics of Board meetings, maintaining organizational files, ensuring staff have the necessary technology access, etc. Process mail, manage office supplies, and maintain the organization and appearance of the National Office.
- Administrative Support: Provide clerical support for the President and coordinate their calendar and scheduling. Provide general administrative support to the HRFA and Engagement & Growth teams, including assisting with event logistics and coordination, travel scheduling, preparing mailings, etc.

- Compensation: The salary for this position starts at $48,000, with additional overtime pay as needed. The final salary will be determined based on qualifications and experience.

- Supplemental Coverage (optional): Include accident, hospital, and critical illness insurance.
- 403(b) Plan: We match 100% of the first 4% of your contributions and 50% of the next 2% for a maximum employer contribution of 5% of your salary. Employees are fully vested immediately.

WHAT YOU BRING:
- Bachelor’s degree or equivalent experience required.
- At least two years of experience in a related field (e.g., database management, non-profit development, political fundraising, administrative support, or other relevant experience).
- Experience maintaining a database, compiling spreadsheets, or otherwise organizing detailed numerical information.
- Experience in general office and administrative work.
- Some understanding of fundraising, preferably with major donors.
- Superb attention to detail and ability to organize and manage significant amounts of information and data.
- Strong computer skills and a willingness to learn new software are required. Competency with Microsoft Office (particularly Excel) and Google Suite is also required. Experience with Salesforce or a similar donor database and with DonorSearch or similar donor prospecting software is also beneficial but not required.
- Able to manage multiple small assignments simultaneously.
- Ability to thrive in a fast-paced multi-office organization where change is common.
- Clear communicator, including being able to communicate with the President and senior staff quickly and succinctly while they’re on the go.
